# Direct mail for customer relationships

> Onboarding welcomes, champion thanks, renewal letters, expansion introductions: the mail moments that keep customers, run as a standing program from your CRM.

## Your customers get plenty of email. They get very little mail.

Closed-won is where outbound ends and the relationship begins. Sincerely runs the mail moments that keep it: renewal entries from a mapped CRM date and other customer moments from a list or your own integration. Each piece is written for one recipient, and your team handles the follow-up.

## The moments

Six moments, each with its own trigger. A relationship program is not a blast to the customer base. It is a short list of pieces, each answering a moment your team has identified. Renewal dates can trigger mail natively. For the other moments, select a list, import a CSV, or send entries through your own authenticated campaign integration.

- Onboarding welcome (trigger: closed-won). The sponsor who signed took a career risk on you. A letter inside the first two weeks says you noticed, while the decision still feels fresh.
- Champion thanks (trigger: milestone). A rollout ships or a usage milestone lands. A note within days reads as a person; a month later it reads as automation.
- Advocacy ask (trigger: NPS 9 or 10). A 9 or 10 on NPS is a door. The piece asks for nothing; the follow-up email carries the request, and it lands better for it.
- Renewal (trigger: 90 days out). Ninety days out on a healthy account, a letter starts the conversation early, before procurement does.
- Renewal risk (trigger: usage drop). Usage drops inside the renewal window. A signed letter from your executive to theirs resets the conversation at the level where the decision happens.
- Expansion (trigger: whitespace). The deployment is healthy and the team next door has the same problem. A letter that names the internal rollout is about their own company, which gives it a reason to be read.

Each moment is a written play. [Customer marketing](https://trysincerely.com/playbooks/customer-marketing) covers onboarding, thanks, advocacy, and renewals; [the renewal-risk save](https://trysincerely.com/playbooks/renewal-risk) and [the expansion play](https://trysincerely.com/playbooks/expansion-accounts) carry the sharper stakes.

## The program

A standing program, not a campaign. The machinery is the same one that runs your outbound: trigger, piece, approval, follow-up, report. Only the audience changes.

- Triggered from the CRM: a renewal date mapped from Salesforce or HubSpot starts a letter 90 days out, and customers won since a date you pick can be saved as a list. The program runs all year on lists of a dozen.
- Written for one recipient: each piece is drafted from CRM context and account facts, and names the specific thing: the rollout, the milestone, the person. Review every draft, or auto-approve clean copy after the first ten pieces written from account research or with AI-written lines in the design pass review.
- Followed up by the owner: the CSM or signing executive calls three to five days after delivery. The delivery task starts with the workspace owner, who passes it to whoever owns the relationship. A person does the asking.
- Measured honestly: if your program mails 15 to 40 pieces a month, a single moment may not support a useful lift estimate. Eligible randomized campaigns can pool compatible cohorts. Hand-picked sends and API-entry campaigns stay descriptive, and the report says which method applies.

The math is public before you spend: [the holdout guide](https://trysincerely.com/holdout-testing) and [the calculators](https://trysincerely.com/tools) show what your volume can and cannot prove.

Letters carry the weight moments, postcards the warm ones, and handwritten production gives either format a more personal feel in the US and Canada. For the milestone that deserves more than paper, a [gift with a note](https://trysincerely.com/gifts) from the 46-item catalog shows its exact price before confirmation.
