# Billing

> How prepaid credits, piece caps, gift balances and gift budgets bound fulfillment, and what the free audit plan can and cannot do.

Source: https://trysincerely.com/docs/billing

Sincerely uses prepaid credits for print, postage, writing, measurement and operations. A campaign reserves credits before it can create mail. A gift also reserves its exact approved catalog price from the workspace's prepaid gift balance. Current prices, allowances and caps are published on [the pricing page](https://trysincerely.com/pricing), which is the source of truth for every number.

## The audit plan

A new workspace starts on the audit plan with no card. Connect a CRM or upload a CSV, run the mailability audit, build the brand kit, lay out designs and generate drafts. Everything up to the mailbox works.

Nothing can be mailed, because there is no fulfilment path behind it. This is not a simulated send that quietly goes nowhere; the plan simply has nothing to print with, and the product says so rather than pretending. Choosing a paid package is what turns the channel on.

## Credits

Each live format has a credit weight, so a pool converts to a different number of pieces depending on what you send. A letter costs more than a postcard, and Canadian mail costs more than United States mail. Handwritten sending stays closed until physical samples, pricing, and capacity are ready. When it opens, confirmation will show the exact prepaid credit cost before you send.

A piece may split across prepaid buckets. Six subscription credits and one top-up credit can cover a seven-credit letter, but all seven must already exist before the piece is reserved.

Monthly subscription credits expire at monthly renewal. Annual subscription credits are available for the full paid year. Pilot and top-up credits do not expire. Purchased top-up credits are retained after a subscription ends, but an active recurring plan is required to use them. Adjustments are used first, followed by subscription credits, top-ups and pilot credits. Subscription credits do not roll over, and credits have no cash value.

Usage beyond the subscription pool requires a prepaid top-up purchase. Gift fulfillment also requires an active recurring plan and enough prepaid gift funds for the exact catalog price. Gift funds are retained without expiry if a subscription ends, but cannot be used until a recurring plan is active again. Pilot cannot buy top-ups or gift funds and cannot send gifts. Sincerely never creates a negative credit balance or a post-fulfillment overage invoice. The plan version and credit quote are frozen when a piece is reserved, so a later catalog change cannot reprice mail already committed.

## What bounds fulfillment

Five separate limits apply, and a piece has to clear every relevant one:

| Limit | What it does |
| ---------------------- | ------------------------------------------------------------------------------ |
| Piece cap | The hard ceiling on how many pieces can send in the paid term |
| Prepaid credit balance | Every piece's frozen weight must be covered before reservation |
| Prepaid gift balance | A gift's exact approved catalog price must be available before reservation |
| Gift budgets | Campaign and monthly workspace ceilings reserve headroom for every queued gift |
| Frequency cap | Four pieces per contact per thirty days by default |

When a plan's piece cap or prepaid balance is exhausted, due work waits rather than printing past it. Campaign preflight checks the planned cadence against the piece cap, credit balance, gift balance and gift budgets before launch. Reservation and vendor handoff check the same boundaries again.

## Cancellations and adjustments

A vendor-confirmed cancellation releases the credit reservation and any reserved gift funds. It does not create an invoice adjustment because fulfillment never creates postpaid usage.

If confirmation arrives after the source subscription term has expired, that debit returns as a cancellation adjustment valid for thirty days. Adjustments are spent before other credit buckets, and an unused adjustment is forfeited at the end of that window.

## Buying through an agent

Starting a plan checkout or changing an existing subscription through an agent is held for confirmation. The preview names both possible outcomes: an existing Stripe subscription can switch and invoice the difference immediately, while a new purchase returns a Stripe Checkout link and changes nothing until the person pays there.

Prepaid credit and gift-fund purchases only create unpaid Stripe Checkout links, so those calls are not held for a separate confirmation card. Stripe's hosted payment page is the human gate, and no balance changes until payment succeeds. No scope grants an agent the ability to spend money without a person's click. See [confirmations](https://trysincerely.com/docs/mcp-confirmations) and [the tool catalog](https://trysincerely.com/docs/mcp-tools).
