# Sending

After launch, Sincerely creates one piece per contact per step, routes each piece to its fulfillment path, and shows the status that path can report. Printed mail goes to a production partner by destination; gifts and handwritten mail are fulfilled by Sincerely.

## How a piece is routed

Routing looks at physical format, production treatment, and destination country. Printed postcards, letters, and gifts cover the United States and Canada. Handwritten 4x6 postcards and letters are written by hand with a real pen.

You contract with no fulfillment vendor and buy fulfillment through Sincerely's prepaid credit and gift balances. If a better vendor appears for a format, the routing changes and nothing in your workflow does.

## One piece, once

Piece creation is idempotent on the workspace, the enrolment and the step. The same step run twice produces the same piece rather than a second one, and a step never advances past a piece until its fulfillment path acknowledges it.

Both halves matter. A silent double-send costs money and credibility with the recipient. A silent non-send is a campaign that reports as run and never arrived. Neither is acceptable, so the keying is a product invariant rather than an implementation detail.

## Delivery reporting

Postal events confirm that a piece reached a delivery point. They do not confirm that anyone read it, and Sincerely never phrases them as if they did.

Reporting is also not uniform across vendors. Only Lob currently streams delivery events back, so standard printed United States postcards and letters report delivery and the other formats do not. Where delivery is reported, follow-up tasks key off the confirmation rather than off the send, which is the whole reason to track it.

## Cancellation

A handwritten piece can be cancelled for a full refund until postal handoff. Postal handoff is final. Handwritten mail does not receive synthetic delivery tracking.

A printed piece can be cancelled up to the moment it is submitted to a vendor. After submission the vendor holds it, and Sincerely's cancellation attempt goes to the vendor rather than to a queue we control. A vendor-confirmed cancellation releases the credit reservation and any reserved gift funds.
