# Account-based direct mail: run ABM mail by account, not contact

> What account-based direct mail is, how to coordinate pieces across a buying committee, and why whole-account holdouts are the only clean way to measure ABM mail.

Account-based direct mail is physical mail planned, personalized, and measured at the account level rather than the contact level. You choose named accounts, decide which members of the buying committee should hear from you and why, write each piece for its specific recipient from CRM context and researched account facts, and measure lift against a holdout of whole accounts. The account is the right unit because that is where B2B revenue lives. The opportunity, the buying decision, and the closed-won outcome all belong to the company, not to any single address on a mailing list.

## Why the account is the unit

Contact-level direct mail treats every address as an independent prospect. That model fits consumer mail, where one household makes one purchase decision. It breaks in B2B, where a purchase is decided by a committee inside one company. Run [ABM](https://trysincerely.com/glossary/abm) mail contact by contact and three things go wrong: several people at the same company receive uncoordinated messages, the total spend into one account is invisible, and the measurement compares treated people against their own treated colleagues.

Account-based direct mail moves three decisions up a level:

- **Whether to mail at all** is an account decision, made from account tier and a dated signal, not from the existence of a contact record.
- **Who receives what** is one plan per account: which roles, in which order, each with a distinct reason to hear from you.
- **Which experimental arm** is assigned to the whole account, so measurement stays clean.

## Named accounts and the buying committee

An account-based program starts from a named list, not a purchased one. The accounts come from your CRM: open opportunities, target tiers, accounts that went dark. The recipients come from the [buying committee](https://trysincerely.com/glossary/buying-committee) at each account, and each one needs a distinct reason to receive a piece. The economic buyer cares about priority and risk. The operational owner cares about the work of changing. A technical reviewer cares about fit with the existing stack. Sending three copies of the same letter to all three is batch marketing with extra postage.

Two or three roles per strategic account is the common shape, and one recipient is right when the trigger is personal. The [contacts per account guide](https://trysincerely.com/guides/how-many-contacts-per-account) covers how to make that call, and the [ABM playbook](https://trysincerely.com/playbooks/abm-programs) covers how the recipient plan changes across 1:1, 1:few, and 1:many tiers. Whatever the count, the pieces belong to one coordinated plan: decide the order, decide what each person receives, and decide what happens to the later pieces when someone replies.

## Personalization from account context

At account-based volumes, a mail-merged first name is not personalization. The piece has to show the account it was written for. Two kinds of context make that possible:

- **CRM opportunity context.** The stage, the owner, what was discussed, how long the account has been quiet. A letter into a stalled evaluation should read differently from a letter opening a cold tier-1 account.
- **Researched account facts.** A new executive, a funding event, a relevant hiring pattern, a stated initiative. Each fact needs a source and a date, because the account owner has to be able to defend the claim on a follow-up call.

Write each piece for its recipient's role using that shared account context. Committee members should recognize the same understanding of their company while each reads an argument aimed at their own job.

## Measure with whole-account holdouts

Suppose Acme has three people on the buying committee. The CFO receives a letter, the operations lead is placed in the holdout, and both join the same vendor meeting on Friday. The operations lead is not really unexposed. They may hear about the letter in the meeting or even pick it up from the mailroom. When the resulting opportunity belongs to Acme, there is no honest way to credit one contact and withhold credit from the other.

Assign the [holdout](https://trysincerely.com/glossary/holdout) once for the whole account. Every contact at Acme is mailed, or none of them is. Count the primary outcome once too, because one company opening one opportunity is one result.

Sincerely keeps holdout accounts in the same campaign state machine but suppresses fulfillment. Their eligibility and outcomes are still observed, which preserves the [intention-to-treat](https://trysincerely.com/glossary/intention-to-treat) comparison. Choose the outcome, measurement window, and holdout share before launch. Do not adjust them after seeing early replies.

The [holdout testing guide](https://trysincerely.com/holdout-testing) explains the design, and the [holdout size calculator](https://trysincerely.com/tools/holdout-size) shows whether the account list can support a useful readout. Many small 1:1 programs cannot. Keep the holdout if it makes business sense, describe the evidence you observed, and pool comparable cohorts over time instead of declaring an early win.

## Where mail sits next to ads and SDR sequences

Do not ask a letter to do the job of a cheap impression. Ads can keep the company familiar, and an SDR sequence can carry routine follow-up. Spend on mail when an account matters enough to deserve a considered argument or when two or three good digital touches have gone unanswered.

Those channels still need one account plan. Decide what the mail adds, who owns the next step, and what happens if somebody replies before a later piece prints. After confirmed delivery, the account owner follows up while the piece is still recent. The [outbound sequences guide](https://trysincerely.com/guides/direct-mail-in-outbound-sequences) covers the timing, and the [SDR playbook](https://trysincerely.com/playbooks/sdr-teams) covers the rep's part.

## What account-based direct mail software must do

Before choosing software, walk one real account through the system. Ask these questions:

- Does the CRM sync preserve the company and opportunity behind each contact?
- Can two people at the account receive genuinely different arguments, or only different merge fields?
- What stops an unverified address from printing?
- Will frequency caps catch pieces coming from separate campaigns?
- How quickly does one suppression request stop every campaign?
- Is the [holdout](https://trysincerely.com/glossary/holdout) assigned and locked by account? Does the readout show [incremental lift](https://trysincerely.com/glossary/incrementality) with a confidence interval, or only influenced pipeline?

The [direct mail software guide](https://trysincerely.com/guides/best-direct-mail-software) compares the broader tool categories against these requirements.

## Where Sincerely fits

Sincerely keeps the account relationship when an audience arrives from [Salesforce](https://trysincerely.com/integrations/salesforce), [HubSpot](https://trysincerely.com/integrations/hubspot), or [CSV](https://trysincerely.com/integrations/csv). It uses CRM context and sourced research to draft for each recipient, then waits for human approval and a verified address. At dispatch, it checks the budget, frequency cap, and suppression state.

The experiment uses that same account structure. A holdout is assigned and locked for the company, and the readout shows lift with its confidence interval. If the sample is not ready, the report says so. Current packages are on the [pricing page](https://trysincerely.com/pricing), and a new workspace can [start free](https://trysincerely.com/setup) to build the account audience before mailing anything.
