# What is the best direct mail targeting software for B2B?

> B2B mail targets accounts, people, and office addresses, not households. Which tools pick the account, the person, the address, and the week to send.

No single product is the best direct mail targeting software for B2B, because B2B targeting is four separate jobs: choosing the accounts, choosing a few people at each one, finding an address where those people will actually get mail, and choosing the week to send. Data vendors such as ZoomInfo and Apollo are strongest at the first two. Intent platforms are strongest at the fourth. Almost nobody does the third well, and it is the job that decides whether the piece is opened or sits in a mailroom. Most consumer targeting tools solve a different problem entirely.

## Consumer targeting tools solve a different problem

Search for direct mail targeting and most results are built for households. [Postie](https://trysincerely.com/vs/postie) builds lookalike models with machine learning and resolves anonymous website visitors to home addresses. [PostPilot](https://trysincerely.com/vs/postpilot) matches site visitors and prospects for lookalike households from Shopify data. [Poplar](https://trysincerely.com/vs/poplar) runs lookalike modeling and order matchback for consumer brands.

Those tools work well for consumer brands and fit poorly when you sell to companies. A lookalike model needs thousands of past buyers to learn from, and a B2B team selling to 300 named accounts has a few dozen. The output is a home address, and mailing a buyer at home because a model guessed they might be interested is the fastest way to make a gift or a letter feel invasive. If you sell to consumers, start with those three. If you sell to businesses, keep reading.

## The four jobs and who does each

| Job | What good looks like | Tools that do it well |
| --------------------------------- | ----------------------------------------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Choose the accounts | A list that matches what you sell, from firmographics and your own wins and losses | Your CRM, plus a data vendor such as ZoomInfo or [Apollo](https://trysincerely.com/integrations/apollo) for companies you have not met |
| Choose the people | Two to five current people in the buying group, not 40 contacts with the right keyword in their title | The same data vendors, checked against LinkedIn before you spend postage |
| Find an address that reaches them | An office where this person works and receives mail, verified as deliverable | Rarely done well by anyone. Data vendors usually supply the headquarters address, which is right for the company and often wrong for the person |
| Choose the week | A dated, sourced reason the account should hear from you now | [6sense](https://support.6sense.com/docs/predictive-buying-stages), [Demandbase](https://support.demandbase.com/hc/en-us/articles/360056755791-Understanding-Demandbase-Intent), and [Bombora](https://customers.bombora.com/crc-coop/scoresthresholds) for third-party intent; [Clay](https://www.clay.com/pricing) for a signal workflow you build yourself |

The address job deserves more attention than it gets. A director at a 2,000-person company may sit in a regional office, in a building where the mailroom forwards nothing, or at home full time. A verified headquarters address passes every postal check and still never reaches their desk. The [guide to B2B mailing addresses](https://trysincerely.com/guides/b2b-mailing-addresses) explains how to judge one before you trust it.

## Build the list in this order

Start from accounts, not people. Pick the 100 to 500 companies you would be glad to win this year, using your CRM's closed-won history as the pattern rather than a vendor's idea of your ideal customer.

Then pick people inside each account. Three is a sensible default for a first touch: the likely champion, their manager, and one person who will be asked for an opinion. The [contacts-per-account guide](https://trysincerely.com/guides/how-many-contacts-per-account) goes deeper. Mailing ten people at one company does not raise your odds tenfold. It makes the letter look like a campaign.

Then resolve an address for each person and check it. Then rank the accounts by timing, and mail the top of the list first. The [weekly account guide](https://trysincerely.com/guides/which-accounts-to-mail-this-week) shows how to rank by dated evidence rather than fit alone.

Suppose Omar sells fleet software to regional trucking companies. His CRM shows 240 accounts that look like his best customers. He keeps three people per account, which is 720 contacts. When he checks addresses, 150 of the contacts have only a headquarters address in another state, so he holds them back until he can confirm where they sit. Of the 570 left, he mails the 190 at accounts where a filing, a new terminal, or a job post gives him a reason to write that month. The rest wait for a reason of their own.

## How Sincerely handles targeting

Sincerely starts from your existing data. It syncs audiences from HubSpot or Salesforce, or imports a CSV from Apollo, ZoomInfo, or Clay. It has no native connector for those data vendors. Recurring plans also include pre-created contact lists.

You can also describe the companies you sell to, and Sincerely's contact finder searches public sources for matching businesses and current people at each one, three per account by default. It uses web search, Google Places to confirm an office exists, SEC filings, and public job boards. Each sourced address is labeled with its type, such as headquarters, branch, registered, or mailing, and enters human review. A sourced address never overwrites an address you already verified. US addresses are checked through Lob and Canadian ones through PostGrid before anything prints. The free audit plan and the Pilot can take up to 300 sourced contacts, recurring plans have no such limit, and contacts from a CRM or CSV never count.

For timing, an account priority ranks accounts by dated evidence such as a stalled deal, a renewal date, a filing, or a job post, and shows the reason beside each rank.

## Where other tools are better

Choose ZoomInfo or Apollo when you need breadth: millions of contacts, emails and phone numbers, and filters by title, headcount, and technology. Sincerely mails only to the United States and Canada, and its finder returns a few people per account. That is a narrower job.

Choose 6sense, Demandbase, or Bombora when a large ABM team needs third-party research intent and advertising activation across thousands of accounts. Sincerely reads CRM facts, first-party engagement, public filings, job boards, and news. It does not buy topic intent from a publisher co-op.

Choose Clay when you want to assemble your own enrichment and signal workflow from many sources and are willing to maintain it. And choose Postie, PostPilot, or Poplar when the recipient is a household rather than a business.

Sincerely fits when the hard part is the last mile: turning a list of accounts into a few people with an address you can defend, a reason to write this month, and a piece written for each person.
