# When should sales follow up after direct mail arrives?

If a letter is marked delivered on Tuesday, give the rep a task for Wednesday. The piece has had time to reach the office, but it is still recent enough to make the follow-up recognizable. Say that the letter was sent. Do not say the recipient read it, because the postal event cannot tell you that.

## Trigger from delivery, not send date

There are several dates in a mail record, and they answer different questions. The print timestamp says production started. Acceptance says the postal network has the piece. For a time-sensitive sequence, wait for the normalized delivery event, then create the task for the following day.

Even that delivery event has limits. An [Intelligent Mail barcode](https://trysincerely.com/glossary/imb) records progress through the network and arrival at a delivery point. A building mailroom may hold the letter for another day, and headquarters may not be the prospect's daily office. Phrase the opener with that uncertainty in mind.

Good: "I sent a short letter to your office about the new sales team. I wanted to follow up on the idea in it."

Bad: "I saw you read my letter yesterday."

The second sentence claims an event the postal system cannot observe.

## Match the follow-up to the piece

- **Postcard:** call or send a short email the next day. The message was already visible, so the follow-up can move directly to the question.
- **Letter:** reference the argument or observation inside it. Do not repeat the full pitch.
- **Event or deadline mail:** leave enough production time that delivery precedes the event. A follow-up after the conference starts cannot repair a late piece.

If no delivered event arrives, do not create a task that says the piece landed. Use an estimated window only when the workflow labels it as estimated. If the piece returns, suppress or review the address before scheduling another physical touch.

## Coordinate the rest of the sequence

Let the mail create one moment in the sequence. An automated email scheduled for the same hour can bury that moment, especially for a high-value letter. Once the piece arrives, the rep can continue the conversation by phone or email.
