# How to manage direct mail suppression across campaigns

Someone writes, "Please stop mailing me." One campaign records the request. Another prints a postcard the next morning. To the recipient, the explanation about separate campaign lists doesn't matter. The company ignored a clear no.

That is why suppression is immediate and workspace-wide. It isn't a preference tucked inside one campaign.

Suppress the contact everywhere, remove them from active enrollments, and cancel anything that is still waiting for the print vendor. Check once more at dispatch. An old audience snapshot never gets to overrule a newer request.

## Suppression is not deletion

Deleting the contact is not the answer. Deletion throws information away. Suppression keeps the one fact every future workflow needs: don't mail this person. A later CRM sync, CSV import, or corrected address must not make them eligible again.

Keep enough of the decision to recognize the person later: durable identity, reason, source, who recorded it, and when. A street address alone is weak because people move and colleagues share offices. Email alone is weak because addresses change. When the identity is uncertain, hold the match for review instead of guessing.

## Check at the last responsible moment

A clean launch list can be wrong six weeks later when the third piece is due. Put suppression in the final preflight beside address validity, budget, and frequency. It wins over campaign priority and an earlier approval.

When a new suppression arrives, the system should:

1. Mark the contact in the central record.
2. End every active enrollment.
3. Cancel prepared or queued pieces that are still under its control.
4. Leave provider-submitted pieces visible in the ledger because they may still arrive.
5. Record what stopped and what had already become irreversible.

Don't promise that a vendor-submitted piece was canceled. Physical mail has a handoff point. After that point, the honest answer may be that the envelope is already on its way.

## Keep imports from reopening the door

Run the suppression check after identity resolution on every CRM sync and CSV import. A row doesn't become mailable simply because it came from a trusted Salesforce list. The source explains where the record came from. It does not revoke the recipient's decision.
