# How to send direct mail to prospects

> Direct mail works best on a small set of valuable accounts with a verified business address and a specific reason to write now.

To send direct mail to prospects, start with a small list of valuable accounts, find and verify the right business address, and write one useful message for each recipient. Approve the final piece and budget before printing. Put the mail inside the sales sequence, then time the next call or email from delivery rather than the send date.

Mail is not a replacement for an account plan. It is a paid touch that earns attention for the next conversation.

## Choose prospects worth the postage

Do not mail the entire CRM. Start with accounts where one meeting or opportunity can justify the cost and the rep has a reason to follow up.

Good audience rules are specific:

- Named accounts in an active outbound tier
- Prospects who reached the end of a digital sequence without replying
- Accounts with a dated signal such as a new executive or relevant hiring change
- Closed-lost opportunities with a new reason to reopen the conversation
- Event conversations where someone recorded useful context

"All directors in software" is a list, not a reason to print.

Set the account rule first, then choose one or two people at each company. The [contacts per account guide](https://trysincerely.com/guides/how-many-contacts-per-account) explains when a second recipient helps and when it creates noise.

## Find a business address you can defend

Use an address from the CRM, a company data source, or a public business record. Record where it came from. Then standardize and verify the delivery point before paying for print.

A verified headquarters address may still be wrong for the person. The prospect might work from another office or be fully remote. Prefer a location tied to the recipient's role or recent activity. Stop when the match is uncertain.

Do not search for a home address for cold B2B outreach. An address being available for purchase does not make the send appropriate.

Read [how to get verified B2B mailing addresses](https://trysincerely.com/guides/b2b-mailing-addresses) for the full process.

## Pick a format that suits the message

A postcard puts the message in view immediately. It works for a short observation, invitation, or reminder. A letter gives a more private argument room to breathe and often fits senior recipients or considered sales.

| Format | Use it when | Avoid it when |
| ---------------- | ------------------------------------------------ | ------------------------------------------------- |
| 4x6 postcard | The message is short and the audience is broader | The idea needs explanation |
| 6x9 postcard | You need more visual room without an envelope | The content is sensitive |
| Letter | You have a specific argument for a named person | The copy is generic |
| Handwritten note | A real prior interaction gives the note context | You are trying to fake familiarity |
| Gift | The relationship and policy support more weight | The account is cold or the value creates pressure |

If you are still deciding, read [postcard or letter](https://trysincerely.com/guides/postcard-vs-letter). Prospect gifting has separate rules in [the prospect gift guide](https://trysincerely.com/guides/how-to-send-gifts-to-prospects).

## Write one useful message

The piece should answer three questions. Why this company, why now, and what should the reader do next?

Use one sourced account fact. Connect it to a problem your company can discuss. Make one modest ask. Cut the warm-up copy.

> Maya, you are adding eleven sales roles this quarter while opening a second region. That usually exposes the handoffs that worked when one team shared a room. I wrote down the four checks our customers run before the new group starts. The QR code opens the list. If it is useful, I would like twenty minutes to compare notes. Dana

The message is specific without pretending to know Maya's private priorities. The [direct mail copywriting guide](https://trysincerely.com/guides/direct-mail-copywriting) has more examples and an approval checklist.

## Put mail in the sequence

Mail can open, interrupt, or revive an outbound sequence. After silence is the practical default because the account has already passed several filters. Opening with mail can work for a small set of high-value named accounts. A final piece can also close the sequence or set up a later revival.

Do not schedule the follow-up from the day printing starts. Production takes time and postal delivery varies. The next touch should wait for a delivery event or a conservative in-home estimate. The [outbound sequence guide](https://trysincerely.com/guides/direct-mail-in-outbound-sequences) provides a complete 14-business-day cadence.

## Approve the complete send

Review the audience, address, design version, final words, total budget, and follow-up owner before launch. Suppression and frequency rules should apply across every campaign, not only this one.

One person must explicitly launch the send. A synced CRM list should never start spending because a filter changed overnight.

## Follow up after delivery

Delivery tracking confirms arrival at a delivery point. It does not prove that the recipient read the piece.

Have the account owner call or email the next business day. Refer to the idea in the piece.

> I sent a short note about the regional sales hiring. The checklist it links to may be useful even if the timing for a conversation is wrong.

That gives the prospect context without claiming you watched them open their mail. One follow-up email and one call are enough before the account returns to its normal plan.

## Where Sincerely fits

Sincerely can sync the starting audience from Salesforce or HubSpot, accept a CSV, or find accounts from a prospecting brief. Enrichment adds a few relevant contacts, business addresses, and dated account signals with their sources. Those facts shape one message for each recipient and give the sender a clear reason to approve or reject the piece.

From there, Sincerely coordinates address review, suppression, frequency limits, design and copy approval, printing, delivery tracking, and the next sales task. At launch it assigns whole accounts to mail or holdout, fixes the primary CRM outcome and measurement window, and later reports lift with uncertainty.
