# Which direct mail platforms handle operational mail?

Operational mail is the mail a business has to send because something happened to an account: a statement, an invoice, a privacy or adverse-action notice, a check, a policy document, a legal notice that needs proof of mailing. The platforms built for it are print-and-mail APIs. In the US and Canada that usually means Lob or PostGrid, with Click2Mail as the simpler option when the job is a modest number of Certified Mail letters. Marketing mail platforms, Sincerely included, are the wrong tool for this job. The reasons are structural rather than a missing feature or two.

## What operational mail needs that marketing mail does not

Marketing mail is optional. A campaign tool is supposed to skip people who opted out, were mailed too recently, or have a doubtful address. Operational mail works the opposite way. A required notice has to go even when the recipient asked for no more marketing, and a skipped statement is a compliance problem.

That one difference drives the rest of the requirements:

- **Proof.** Legal and collections teams need USPS Certified Mail, sometimes with a return receipt, so they can show a court or regulator that the notice went out and who signed for it.
- **Formats.** Checks, multi-page letters, return envelopes, and remittance slips are normal here. A 4x6 postcard rarely is.
- **Data handling.** A medical bill or an explanation of benefits carries protected health information, so a healthcare sender needs a vendor that will sign a business associate agreement under HIPAA. Financial mail raises similar questions about SOC 2 reports and who can see the PDFs.
- **Volume shape.** Statement runs spike at month end. The vendor has to absorb 40,000 letters on the second business day without the team re-planning the cycle.
- **Machine origin.** Your billing or policy system generates the document and the address. No person designs or approves each piece. The vendor needs an API, idempotent requests, and webhooks that report status back to your system.

Lob's Certified Mail and return receipt are request options on an ordinary letter call. Certified letters report tracking events in the dashboard, the API, and webhooks like any other letter. Most engineering teams want exactly this: one integration for statements and for legal notices that need proof.

PostGrid is the stronger fit when Canada is a first-class market or when HIPAA has to be available without an enterprise contract. Its pricing page lists HIPAA on the free tier. Confirm the business associate agreement terms in writing before the first claim letter, because a pricing grid is not a contract.

Click2Mail works best when the documents already exist as PDFs or Word files and the volume is a few hundred Certified letters a month for a legal, HR, or collections team. The web tool is the main product. Its API is available when you need to automate.

## Choose by the job

- **Checks:** either. Both print and mail checks at published per-piece rates.
- **Certified Mail with proof of signature for legal or collections:** Lob through the API when the documents come from your system, or PostGrid on an Enterprise contract. Click2Mail when a person prepares them.
- **A one-time mailing of a regulated notice with no engineering time:** Click2Mail's web tool, or a local mail house that will sign your agreements in person.

Run one proof before signing anything. Send a real document in your real format at a realistic month-end volume. Then check four things: which status events reach your system, how a bad address is reported, what the vendor does with returned mail, and whether the compliance paperwork matches the data in the PDF.

## Where Sincerely fits, and where it does not

Sincerely is a marketing and relationship mail platform for B2B teams. It writes postcards, letters, handwritten notes, and gift notes to named accounts in the United States and Canada. Each piece passes a human approval, a frequency cap, and a global suppression check before it prints.

Those controls are why it is the wrong place for operational mail. A suppression entry stops every queued piece to that contact. That helps for a sales letter and hurts for a required privacy notice.
