The connection is deliberately read-only. It does not edit properties, enroll contacts in workflows, log activity, or put follow-up tasks into HubSpot.

## What the HubSpot connection reads

The scheduled sync reads the whole portal. A contact comes in when it has a company association and either an email address or a full name with a complete postal address. There is no HubSpot list or segment filter, so you narrow the audience inside Sincerely, for example by contact owner. The sync brings in a fixed set of fields:

- **Contact:** name, title, email, owner, and postal address
- **Company:** name, domain, employee count, and address
- **Deal:** name, stage, amount, close date, and closed or won status

Two settings read a custom property you name. Map a company date property as the renewal date, and a renewal campaign can enroll that company's contacts 90 days before it. A touch can also be signed with the name in an owner or text property. Other custom properties do not sync today. A postal address in HubSpot is not treated as ready to mail. Sincerely resolves candidate business addresses and checks mailability for their destination country. Uncertain matches go to a person for review. It is normal for many CRM contacts to begin without a usable mailing address. ## Follow one campaign from deal to mailbox

Take a newly closed-lost opportunity. Sincerely notices the transition during a scheduled sync and can place the account into the [closed-lost revival play](https://trysincerely.com/playbooks/closed-lost-revival). Historical closed-lost deals do not enter through this trigger. It responds only to a transition Sincerely observes after the connection is active.

From there, the workflow is straightforward:

1. The account owner reviews the audience and the reason for writing.
2. Sincerely drafts one piece for each selected recipient from CRM context and sourced account facts.
3. A person checks the recipient, address, copy, design, and price.
4. After approval and launch, Sincerely routes the piece by format and destination country to a mail partner.
5. If that partner reports delivery, a follow-up task appears in Sincerely for the next day.

Each contact receives a campaign step once, even if a sync or background job retries. Standard printed United States postcards and letters return automatic postal events. Gifts carry carrier tracking and can receive delivery confirmation from the fulfillment team, which also creates a follow-up task. ## Know where the handoff lives

The follow-up task lives in Sincerely, not beside the HubSpot deal. That can surprise a rep who expects every task to appear in one CRM queue. Decide who will watch the Sincerely tasks and how the rep will handle them before the first campaign launches.
