# Congratulations on a new role: what to write (26 notes)

Write two or three sentences. Name the new role or company, say one true thing you know about the person, and stop there. If you sell to them, the note carries no meeting request. At most it offers one useful thing they can take without talking to you. The 26 examples below are grouped by how you know the person, and every one fits on a 4x6 postcard written by hand.

*A congratulations on a new role note has room for three handwritten lines, so name the role, say one true thing about the person, and stop.*

## How to write a new-role note that does not read as a pitch

Most messages to someone who just changed jobs open with congratulations and turn into a demo request by the second line. Send the one that stays congratulations all the way to the signature.

Compare two notes to the same new VP of operations:

> Congrats on the new role. As you settle in, I'd love to show you how Fieldline helps operations leaders hit the ground running. Free for 15 minutes next week?

> Rana, congratulations on Harbor Freight Labs. At our user group in May you said you audit every report before trusting it. Their dashboards must be nervous. Theo

The first one could go to anyone and wants something. The second could only go to Rana, and asks for nothing. If Theo sells to Harbor, the follow-up email two weeks later has a reason to exist.

Four ways to keep the note about them:

- Mention something the person did. Their old team, a project, a question they asked, a talk they gave. Never mention your product's features.
- Treat a promotion differently from a new company. An internal promotion usually inherits the old vendors and the old problems. A new hire is still deciding what to keep.
- Sign with your first name. A card signed "The Fieldline team" undoes the handwriting.
- If you have never met, say so in a sentence. Pretending to a relationship reads worse than admitting you are a stranger.

Timing, audience, and follow-up for this moment belong to the [new-executive welcome play](https://trysincerely.com/playbooks/new-executive). This page covers the words.

## How the merge fields work

Words in braces are merge fields, written exactly as the Sincerely studio writes them. `{{company}}` prints the account name. `{{first_name|Hello}}` prints the person's first name, or "Hello" when the record has none. The studio refuses a first name, title, or city without a fallback, so each one carries a fallback here. `{{custom.renewal_month|the spring}}` reads a field your own team added to the record. Everything outside the braces is text you adapt.

## A customer champion moved to a new company

- `{{first_name|Hello}}`, congratulations on joining `{{company}}`. I still use the kickoff checklist you wrote for our rollout. Want a copy for the new team?
- `{{first_name|Hello}}`, three years of Tuesday calls taught me you fix the reporting first. `{{company}}` is in for a tidy quarter. Rooting for you.
- Congratulations, `{{first_name|friend}}`. Whoever inherits your account here gets the notes you left, and they are good notes. Coffee is on me. Priya
- `{{first_name|Hello}}`, you asked the hardest question in every renewal review we had. I hope `{{company}}` knows what it got.

## A champion was promoted where they already work

- `{{first_name|Hello}}`, congratulations on the promotion. You earned it by owning the migration nobody else wanted. Nothing needed from you. I'm just glad.
- `{{first_name|Hello}}`, Owen told us about the promotion on Thursday's call and sounded prouder than you will admit to being. Congratulations.
- `{{first_name|Hello}}`, congratulations on running all of support. I still tell new hires about the 2 a.m. escalation you handled with us in March.
- `{{title|The new title}}` suits you, `{{first_name|friend}}`. Congratulations from all of us at `{{sender}}`.

## A new hire at an account you want to win

- `{{first_name|Hello}}`, welcome to `{{company}}`. We have not met. Month one in a new ops job is mostly finding where the data lives. I have a map if it helps.
- `{{first_name|Hello}}`, a card from a stranger is odd, so briefly: congratulations. I sell to teams like yours, and I won't call this week.
- `{{first_name|Hello}}`, everyone will send you a deck this month. I'm sending a question: what would you change first if nobody minded?
- Welcome aboard, `{{first_name|friend}}`. Six analyst roles posted the week you started, so I suspect hiring is project one. Good luck with it.

## A new leader at one of your customers

- `{{first_name|Hello}}`, welcome. Your team has used our scheduling tool since 2023. Two parts work well and one needs fixing. I'd rather you hear it from me.
- `{{first_name|Hello}}`, congratulations. I can send what your predecessor asked us to change last year, and what we changed. Two pages, no meeting.
- `{{first_name|Hello}}`, you now own the contract we renew in `{{custom.renewal_month|the spring}}`. I'd like to say hello before it's a meeting about numbers. Ana
- Congratulations on the move up, `{{first_name|friend}}`. Our job stays the same: the weekly export lands on time. Tell me if you want it shaped differently.

## A former colleague or peer

- `{{first_name|Hello}}`, a long way from the third floor at Brightline. You were the only one who read the whole RFP. Congratulations.
- `{{first_name|Hello}}`, in 2019 you said you'd run a sales team before 40. Here we are. Congratulations, and dinner is on me when you're in town.
- From one Corvel survivor to another, congratulations, `{{first_name|friend}}`. I still remember who covered for me in the 2021 audit.

## Someone you met once

- `{{first_name|Hello}}`, at the Denver ops dinner you argued for fewer dashboards, and you were right. Congratulations on the new job.
- `{{first_name|Hello}}`, you said the quiet part about discounting on that pricing panel in Toronto. Congratulations. I'll keep reading what you write.

## A sideways move or a return

- `{{first_name|Hello}}`, welcome back to `{{company}}`. People who return know where everything is buried. Good luck with round two.
- `{{first_name|Hello}}`, moving from sales into customer success takes nerve. Most good CS leaders I know carried a quota first. Congratulations.
- `{{first_name|Hello}}`, a startup after twelve years at a bank. Which habit goes first? Congratulations on the jump.

## One-line notes

- Congratulations on `{{company}}`, `{{first_name|friend}}`. They chose well. Sam
- `{{first_name|Hello}}`, new badge, same good judgment. Congratulations on the `{{title|new role}}`.

## How long a handwritten note can be

A handwritten 4x6 postcard has a small default writing area in Sincerely: three lines of about 61 to 65 characters on the back. The studio estimates fit at 12 characters per inch with a quarter-inch line height. It warns you when a message runs past the area. You can enlarge the area, but a postcard body never takes more than 240 characters. Every example on this page fits the default area with each field at its long end, such as a 38-character company name and a 24-character job title. If a note needs more room, send it as a handwritten letter, which holds about 13 to 15 lines in a hand-addressed envelope.

## Sending new-role notes through Sincerely

Sincerely has no automatic job-change trigger. A custom campaign can watch the contacts on its list for dated, sourced signals from the web, news, and job boards, and a person approves every candidate before that contact enters. You can also upload the moves your team spotted as a [CSV](https://trysincerely.com/integrations/csv).

Sincerely drafts each note for one recipient from CRM context and the sourced fact. Nothing prints until you approve the words. Choose handwriting and the note is genuinely written by hand in black or blue ballpoint, photographed, and handed to USPS or Canada Post. Handwritten mail has no delivery confirmation, so time the follow-up from the recorded postal handoff. The [new-executive play](https://trysincerely.com/playbooks/new-executive) covers who qualifies and how to measure the program, and the [funding congratulations examples](https://trysincerely.com/messages/congratulations-on-funding-message) cover the other big congratulations moment.
