# Event follow-up note: 25 examples after a conference

> What to write after meeting someone at a conference, booth, or dinner. 25 short follow-up notes that recall the actual conversation, sorted by setting.

Put three things on the card: where you met, the one thing this person said or asked, and what happens next. "You asked at the Denver booth how we price audits for fleets under 50 trucks. We charge per audit, and the numbers are on their way by email" is a complete event follow-up note. Mail it within two business days. Skip "thanks for stopping by." They know they stopped by. Below are 25 more, sorted by where the conversation happened, from the booth to the airport shuttle.

*Mail an event follow-up note within two business days, and fill it with the one thing this person said rather than thanks for stopping by.*

## The line that proves you were there

Every note on this page turns on one sentence: the detail only the two of you know. A topic is not enough. "We talked about logistics" could follow any badge scan. "You asked whether the audit log survives the end of a contract" could only follow one conversation.

That sentence has to come from the event itself, so write it down before you leave the room. One line per person is enough. Use their words where you can remember them. The [event follow-up play](https://trysincerely.com/playbooks/event-follow-up) explains how to collect those lines across a whole team and who should get a note at all. If you had no real conversation with someone, send them an email instead. A handwritten card to a badge scan is still a mass mailing, only slower.

Here is how one weak line becomes a usable one:

- Weak: "Great chatting at the show about your plans for next year."
- Usable: "You said the Calgary warehouse opens in March and nobody has picked a carrier yet."

## How the fields work

Fields appear the way the Sincerely studio writes them. `{{custom.event|the conference}}` reads a column your team added, such as "FreightTech Denver", and prints "the conference" when the record has no value. `{{first_name|Hello}}` prints the first name or "Hello". `{{company}}` prints the account name and needs no fallback. The conversation details in each example are invented. Replace them with your own line.

## A conversation at your booth

- `{{first_name|Hello}}`, at our booth you asked if the audit log survives a contract ending. It does, for seven years. Details on one page, mail or email. Tomás
- `{{first_name|Hello}}`, you found a bug in our demo scanner in ten seconds. We fixed it on the flight home. Thank you. Want another try at breaking it?
- `{{first_name|Hello}}`, between sessions you asked if we cover cold-chain freight in Alberta. We do, starting in March. Details by email this week.
- `{{first_name|Hello}}`, you said your team spends Mondays reconciling three spreadsheets. One customer got it down to one. Happy to show you how.

## A dinner you hosted

- `{{first_name|Hello}}`, thank you for coming to dinner on Tuesday. Your forklift recall story silenced the table. Same restaurant next year?
- `{{first_name|Hello}}`, you were the one guest who asked us a hard question about pricing over dessert. You'll have a straight answer by Friday.
- `{{first_name|Hello}}`, thanks for staying until they stacked the chairs. The renewal timing talk was my best hour of the week. Comparison coming Friday.

## A dinner where you were the guest

- `{{first_name|Hello}}`, thank you for the seat at your table. I learned more about hospital buying in one dinner than in a year of reading.
- `{{first_name|Hello}}`, the host seated us side by side, and I'm glad. I tried your idea of hiring ops people from restaurant kitchens this week.

## After their talk or panel

- `{{first_name|Hello}}`, I was in the third row at your session. The churn curve split by onboarding week is now taped above my desk. Thank you.
- `{{first_name|Hello}}`, I asked about rural coverage after your panel and got an honest answer. Could I buy you a coffee and hear the long version?

## The hallway, the coffee line, the shuttle

- `{{first_name|Hello}}`, we shared the airport shuttle and a grudge against badge printers. I hope the flight home was on time.
- `{{first_name|Hello}}`, thanks for saving me a seat at the keynote. If the partner program rethink becomes a real project, I'd like to hear about it.
- `{{first_name|Hello}}`, you described a returns backlog better than anyone I met all week. No pitch for that yet, only respect.

## A customer you saw at the event

- `{{first_name|Hello}}`, good to see you in person at `{{custom.event|the conference}}` after two years of video calls. Your kind words reached the whole team.
- `{{first_name|Hello}}`, thank you for telling a prospect at our booth what your first month with us was really like, rough parts included.
- `{{first_name|Hello}}`, I told our engineers the export runs slow on Fridays. Ravi will email you by Thursday with a date for the fix.

## When you promised to send something

- `{{first_name|Hello}}`, the onboarding checklist from our booth chat is in your inbox, subject "the checklist." This card is so you know a person sent it.
- `{{first_name|Hello}}`, you asked to meet someone who ran a SOC 2 audit at your size. Dana Whitfield at Brightwater said yes. She expects your email.

## A meeting you booked before the event

- `{{first_name|Hello}}`, thank you for keeping our 2:30 slot at `{{custom.event|the conference}}` when the keynote ran long. Answers to your three requirements soon.
- `{{first_name|Hello}}`, our breakfast was short and you made it count. The pilot scope you sketched on a napkin is now a one-page proposal. Expect it Monday.

## When you barely spoke

- `{{first_name|Hello}}`, we only traded cards in the lunch line. Good to meet you. If supplier onboarding comes up at `{{company}}`, I'd be glad to talk.
- `{{first_name|Hello}}`, thirty seconds at the badge desk is not much of a meeting. Still, nice to put a face to `{{company}}`. Safe travels.

## The exhibitor in the next booth

- `{{first_name|Hello}}`, three days as booth neighbors and not one complaint about our music. Thank you. If your customers ask about freight audits, send them over.
- `{{first_name|Hello}}`, you lent us an extension cord on day one and saved the demo. Coffee is on us at the next show.

## Postcard or letter

A 4x6 postcard travels open, with a printed address panel, so anyone in the mailroom can read it. Keep anything said privately over dinner off a postcard. A handwritten letter goes in a hand-addressed envelope and holds about 13 to 15 lines, enough for a long conversation with an executive.

The default handwriting area on a 4x6 postcard is three lines of about 61 to 65 characters, and Sincerely estimates the fit at 12 characters per inch with a quarter-inch line height. Every example above fits that default area when its fields are filled with the long sample values the studio uses for fit checks.

## Sending event notes through Sincerely

Upload the people your team actually spoke with as a [CSV](https://trysincerely.com/integrations/csv), with the event and the line you wrote down as columns, and start a Meeting Follow-Up campaign. That preset enrolls the list once and reports descriptively, without a holdout. Sincerely drafts each note for one recipient, and the writer only mentions a past conversation when a record or a note you supplied says you met. You approve every note before it prints.

A note genuinely written by hand gets photographed and handed to USPS or Canada Post on a promised mailing day. Handwritten mail reports no delivery, so the person who had the conversation should follow up a few days after the handoff. To book the conversations in the first place, use the [pre-event meetings play](https://trysincerely.com/playbooks/pre-event-meetings).
