# AI personalization for B2B direct mail

> Sincerely writes a different direct-mail piece for every recipient and can route its response link to a hosted page personalized at visit time.

Source: https://trysincerely.com/personalization

Most direct mail personalization is a first-name merge field. Sincerely writes the whole piece for the person: one campaign can carry a different message in every postcard, letter, and gift note, drafted from CRM context and sourced account research, under the review rule your team chose before launch.

The personalization does not stop at the paper. Every postcard and letter gets its own response token. Standard and handwritten layouts can print it as a QR code and visible URL. A visit traces back to the exact piece and intended recipient, and the link can open a landing page personalized for the same person.

## The research

### A draft starts with facts a reviewer can check.

Sincerely reads CRM context and public sources for facts worth using. Each researched fact lands beside its source, so the person reviewing the draft can see what supports a sentence before approving it. If no fact checks out, the draft should not pretend otherwise. The writer can ask for fresh research or keep the piece generic.

| Signal | What it gives |
| --------------------- | -------------------------------------------------------------------------------------------------------- |
| Funding announcements | Press releases, filings, and coverage provide the round, amount, and timing. |
| Hiring signals | Careers pages and public roles show what a team is preparing to hire for. |
| Product launches | Changelogs, launch posts, and release notes establish what shipped and when. |
| CRM context | Stage, owner, last meeting, and notes keep the letter inside the conversation your team already started. |

## The message

### One approved design. Recipient-specific copy.

The approved layout does not move when the copy changes. The writer uses the sender, campaign goal, research depth, and known account context to draft the parts that should earn the reader's attention. Your team can edit any of them before approval.

| Part | What changes |
| -------------- | --------------------------------------------------------- |
| Headline | Lead with the reason this recipient is getting the piece. |
| Body | Connect the account context to the campaign goal. |
| Proof | Use researched facts only when the source supports them. |
| Call to action | Give the recipient a next step that fits the message. |

## 1:1 response links

### Each postcard and letter gets its own token.

Sincerely assigns an unguessable token to every postcard and letter. Standard and handwritten layouts can print it as a QR code with a visible URL beneath it. When someone opens the link, the visit records the exact piece, intended recipient, campaign step, and design version. Attribution is 1:1 from the mailbox to the link visit, not a guess from a shared campaign URL.

| Event | What Sincerely records |
| ------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| QR-link and visible-link visits | The QR-coded URL and visible URL are recorded as distinct source values against the same piece. The marker shows which URL variant was used, not whether a camera scanned it or someone typed it; copied links keep their original marker. |
| Form submissions | Hosted-form submissions land in the responses inbox tied to the piece and the intended contact. |
| Redirects to your site | The visit is recorded first, then the visitor arrives on your site with utm_source=sincerely, utm_medium=direct_mail, and a conversion ID. The per-piece token is never exposed to the destination. |
| Bot and preview traffic | Marked and excluded from reported counts, so a link checker does not become a "response." |

A visit shows that someone opened the link. It does not authenticate the recipient or prove the mail caused revenue, so Sincerely labels it evidence and lets the [account-level holdout](https://trysincerely.com/measurement) carry the causal claim. The code on the paper is covered on [the QR codes page](https://trysincerely.com/qr-codes).

## Personalized landing pages

### An optional landing page, personalized for the same person.

The piece's link can open a page hosted by Sincerely with your workspace branding. The page can greet the intended recipient by name and company and prefill known form fields from the CRM; the visitor completes or corrects them, and conflicting answers queue for review instead of silently overwriting your records. Ask the assistant to draft the page or build it in the studio. A person publishes it before any recipient can see it. That published page is reusable across a campaign, a mailer design, or a one-off send; Sincerely renders the recipient fields when the link opens, so nobody authors a separate page per contact.

The printed link never changes, but the destination can: publish a new page after mailing and future visits receive it, with each visit recording the version it was served. Hosted pages stay under 60 KB, carry no third-party scripts or cookies, and are never indexed. A branded link domain like yourname.sincerely.link is available when you would rather not print ours.

Two settings shape the link: each campaign or one-off send chooses where it goes, a hosted page or a forward to your own site, and the workspace chooses whose domain is printed. Campaign routing moves while the campaign is live or paused; a completed campaign's routing is locked, though a published page can still revise. Both decisions are laid out on [the landing pages page](https://trysincerely.com/landing-pages).

## The review

### Choose where a person reviews.

Review every draft when each piece needs a person's approval. In auto mode, the first ten research-depth or generated-span pieces wait for review, then later clean drafts can proceed without a per-piece click. Weak facts still wait. Every edit and approval is versioned, so the team can trace the copy that reached print.

A person still confirms the audience, approved design, campaign rules, and spend before launch. Auto mode handles later copy inside that confirmed campaign. It never launches a campaign or spends on its own.

## Fair questions

### Who approves AI-written mail before it prints?

Your team chooses the rule. Review every draft requires a person to approve each piece. In auto mode, the first ten research-depth or generated-span pieces wait for review; later clean drafts can proceed without a per-piece click, while weak facts still wait. A person still confirms the list, design, campaign rules, and spend before launch.

### What data feeds a personalized B2B letter?

Sincerely combines CRM context with current account research. That can include the account stage, owner, last meeting, and notes, plus sourced funding announcements, hiring signals, and product launches. Each researched fact sits beside its source so the reviewer can check it.

### What happens when there are no verified facts about an account?

The writer can use what is already known, ask for fresh research, or keep the piece generic. Weak facts wait in either review mode. Choose review every draft when every recipient's finished copy needs a person's sign-off.

### Does personalization change the approved mail design?

No. The approved design stays consistent while the headline, body, proof, and call to action can change for each recipient. Your team can edit any draft, and the selected review mode decides whether each one needs a separate approval click.

### How is a response measured back to a single piece?

Every postcard and letter gets its own unguessable token. Standard layouts always print it as a QR code and visible URL, and handwritten layouts omit both by default until you choose to print them in the studio. A visit records the exact piece, intended recipient, campaign step, and design version. The token does not identify the visitor, and holdout lift, not link visits, carries the causal claim.

### Can a hosted landing page personalize itself for each recipient?

Yes. Your team publishes one reusable page, then selects it for a campaign, mailer design, or one-off send. When the response link opens, Sincerely renders that page with the intended recipient's name, company, personal note, and known form fields. Nobody authors a separate page per contact. The link can instead redirect to your site after the visit is recorded.
