# Direct mail for demand gen teams

> How to run direct mail beside paid channels, with a defined audience, a fixed budget, sales follow-up, and account-level measurement.

Source: https://trysincerely.com/playbooks/demand-gen

Run direct mail like a paid test on a named account list. Name the eligible accounts, explain why mail fits now, and hold back a random share so you can judge whether it worked. Mail does not fix weak targeting, a vague offer, or a sales team that will not follow up.

## Start with an eligible segment

Build the audience from accounts already inside the go-to-market plan. Good candidates may have engaged with useful content, reached a defined account score, stopped responding after meaningful interest, or shown a dated business signal that connects to your product.

The trigger should be specific enough to audit. "Target account" is a label. "Target account with a new operations leader" is a reason to consider a message. Keep the source and date with the audience record, and remove accounts when the signal is stale.

Mailing a purchased list because the budget is available is rarely a sensible first test. Neither is adding mail to every campaign. Direct mail has a higher cost per touch than email or ads, so it belongs where attention from the account is worth buying.

## Narrow the contact list before writing

Choose the person most likely to understand the offer and move the account forward. One relevant recipient is a good default for a broad test. Strategic accounts may warrant more, but each contact needs role-specific copy and belongs to the same account treatment.

Bring the audience in through [Salesforce](https://trysincerely.com/integrations/salesforce), [HubSpot](https://trysincerely.com/integrations/hubspot), or a [CSV](https://trysincerely.com/integrations/csv). Treat every business address as a claim until it passes verification and review. An account with no suitable mailing address should leave the sendable audience rather than receive a piece at a convenient but irrelevant location.

## Keep the first creative test simple

A postcard can carry one visible idea and one clear action. A letter can hold a more detailed argument inside a private envelope. Choose based on the message, not on a belief that a larger format will create intent by itself.

For this play, save a one-off [gift with a note](https://trysincerely.com/gifts) for the champion after the first meeting and let the postcard or letter campaign carry the holdout. A person confirms the recipient, address, note, gift, and exact price. If a campaign includes gifts instead, its treatment and holdout accounts follow the same frozen assignment.

The writing should answer three questions in a few lines. Why this account, why now, and what should the reader do next? Use only account facts that a person can verify. Skip invented familiarity, broad compliments, and claims about the reader's private priorities.

Plan the sales follow-up at the same time as the piece. When the provider confirms delivery, Sincerely can raise a task for the next day. The rep should refer to the point made in the piece, not suggest that postal tracking showed someone reading it. See [delivery follow-up](https://trysincerely.com/guides/direct-mail-delivery-follow-up) for the full handoff.

## Set the budget and stop rule

Set a campaign budget and a monthly workspace limit before launch. Price the eligible pieces, account for any later steps, and decide what would make the team stop or expand the program. The [budget controls guide](https://trysincerely.com/guides/direct-mail-budget-controls) explains the limits Sincerely enforces. Address failures, suppression, frequency caps, and plan limits still override the campaign schedule.

Sincerely runs those checks again before dispatch. It also requires human approval and an explicit launch. That leaves room for automation in audience building and drafting without letting a changing CRM segment spend silently.

## Report what the evidence can support

The primary question is whether eligible accounts did better because they were assigned to mail. Randomize at the account level, lock one outcome and window, and compare the mailed group with its holdout. [QR visits](https://trysincerely.com/guides/qr-codes-on-direct-mail), replies, and [CRM matchback](https://trysincerely.com/glossary/matchback) remain useful, but they answer different questions. A scan shows a direct response. Matchback shows later account activity. Neither proves incrementality on its own.

Before approving print, open the [holdout size calculator](https://trysincerely.com/tools/holdout-size). Enter the current conversion rate and the smallest improvement that would justify the spend. The result may say the list is too small to detect that change. If so, call the first readout descriptive. Keep the holdout when it makes business sense, and add later cohorts only when they follow the same audience rule, outcome, and window. Mailing every account gives you a larger send, but no clean comparison.

The [B2B direct mail handbook](https://trysincerely.com/guides/evidence-based-b2b-direct-mail) covers the operating method. The [attribution guide](https://trysincerely.com/guides/direct-mail-attribution) separates the reporting layers, and the [break-even calculator](https://trysincerely.com/tools/direct-mail-break-even) shows what the channel must produce before it earns more budget.
