# Direct mail for SDR teams

> Direct mail for SDR teams: decide when a send is earned, choose the recipient, follow with a call, and report honestly.

Ask the rep one question before approving a piece: why this person, this week? A useful answer might be a stalled priority account, a new executive, or a conversation worth reopening. "I need to hit my mail number" isn't one.

Direct mail can break a stale pattern or prepare the ground for a call. It shouldn't become another activity quota. Generic mail sent for the sake of volume is slower and more expensive than generic email.

## Let context earn the send

Useful reasons to mail include a priority account that has gone quiet, a new executive in the buying role, a previous conversation worth reopening, or a meeting where a short piece would add context. Use the matching play when one fits: [dark accounts](https://trysincerely.com/playbooks/dark-accounts), [new executives](https://trysincerely.com/playbooks/new-executive), or [closed-lost revival](https://trysincerely.com/playbooks/closed-lost-revival). The rep should be able to finish this sentence before creating anything: "I am writing now because..."

Silence alone is not always enough. A contact who ignored a weak sequence does not automatically deserve a costly version of the same pitch. Check the account fit, the contact's role, and whether the message has a new idea.

For cold outbound, put mail after the first digital touches unless the account is valuable enough to justify a personal opening letter. The [outbound sequence guide](https://trysincerely.com/guides/direct-mail-in-outbound-sequences) shows how to place the step without guessing at delivery timing, and [direct mail for sales](https://trysincerely.com/guides/direct-mail-for-sales) walks the same workflow alongside meeting follow-up and closed-lost revival.

## Mail the person the rep will call

The recipient should normally be the person already in the rep's account plan. A second contact can make sense when that person has a distinct role in the decision, but copying the same message across an org chart creates account pressure without adding relevance.

Use the CRM as the source for account ownership and contact context. Sincerely can also accept a CSV for a carefully built list. Addresses still need verification and human review. A headquarters address may be deliverable and useless for a remote employee, so the rep should inspect uncertain matches before approval. The [B2B address guide](https://trysincerely.com/guides/b2b-mailing-addresses) explains the distinction.

## Write for the next conversation

A letter works well when the rep has a substantive, personal point to make. A postcard works when the message is short and can be understood at a glance. In either format, use one verifiable observation, connect it to one problem the team can solve, and make one modest ask.

For this play, save a one-off [gift with a note](https://trysincerely.com/gifts) for the champion after the meeting and let postcards and letters do the prospecting. A person confirms the recipient, address, note, gift, and exact price. Campaigns can also include a budgeted gift-note step when the same gesture genuinely belongs in the sequence.

The best next step is often the follow-up already planned by the rep. After confirmed delivery, follow up the next day. Refer to the idea in the piece and leave room for the possibility that the recipient has not seen it. Delivery tracking confirms the destination, not attention.

One-off sends and campaign sends belong in the same ledger, with the final copy, piece status, cost, and follow-up task together. Nobody should need a private spreadsheet to reconstruct what happened.

## Give reps freedom inside hard limits

A safe sales program has a campaign budget, a monthly workspace cap, an approved set of formats, and one frequency cap shared across the workspace. Sincerely enforces both budget levels before dispatch. Its default contact limit is three pieces in any 30 days, counting scheduled campaigns and one-off sends together.

A one-off send represents a person choosing to act now. It should either pass the cap and preflight or reject with the reason and next eligible date. It should not slip silently to a later day. Scheduled mail can move when a higher-priority touch needs the slot.

Suppression overrides both. Every piece also needs a passing address, budget headroom, an approved design version, and an explicit human action before it can print. These rules protect the rep as much as the recipient. The guide to [letting reps send mail without losing control](https://trysincerely.com/guides/let-reps-send-mail-without-losing-control) shows a role setup for a ten-person team. Nobody should learn after the fact that a personal note did not send or sent twice.

Try this in the next team review: ask a rep to open one account and tell you what is waiting, what already went out, and what happens next. The answer should take seconds. If it needs a campaign spreadsheet and two Slack messages, the rep can't safely own the follow-up yet.

## Read rep results at the right level

At small volume, report pieces delivered, replies, meetings, and opportunities as descriptive counts. Do not call a handful of meetings proof that mail caused them. Rep judgment selected the accounts, and that selection affects the outcome.

When the motion reaches enough accounts, turn it into a campaign with a randomized account holdout. Keep every contact at one account in the same arm, set the primary outcome before launch, and pool comparable cohorts if one period is too small. Sincerely shows the lift estimate with its interval and says when the result remains underpowered.

The [B2B direct mail handbook](https://trysincerely.com/guides/evidence-based-b2b-direct-mail) covers the full operating method. Set the handoff with the [delivery follow-up guide](https://trysincerely.com/guides/direct-mail-delivery-follow-up), then coordinate collisions with the [frequency cap guide](https://trysincerely.com/guides/direct-mail-frequency-caps).
